Booking terms and conditions

When you book a swimming lesson, coaching session or series of sessions with Toe In Swim you agree to follow certain terms and conditions.  This document sets out those terms and conditions.

You should read this document carefully as it sets out important information about payment and refunds.

We assume that by booking a lesson you agree to these terms and conditions.

This document only refers to direct bookings with or payments to Toe In Swim.  Where Toe In Swim (we) are undertaking coaching on behalf of other organisations, your agreement will be with and your payment to that organisation.

Booking a swim activity with Toe In Swim

  1. Toe In Swim (we) arrange bookings by telephone or email (see contact details above)
  2. Once we have agreed a time and date for your lesson, coaching session, series of coaching sessions or other Toe In Swim activity, we will send you an email with payment details.
  3. Full Payment should be made by bank transfer and should be made within 24 hours of receiving the payment details email.
  4. Once you have made the payment, we will send you an email confirming your booking within 48 hours.
  5. If you do not make payment within 24 hours of receiving the payment details email your booking will not go ahead.
  6. Your booking will only go ahead if you have received our booking confirmation email. If you do not receive this email within the specified time period (48 hours of your payment) you should assume that the booking has not been made.
  7. If you have not received your booking confirmation within 48 hours of payment please get in touch with us as soon as you can so that we can check our details. You can phone or email and the contact details are at the top of this document.

*If you have not received your booking confirmation email you should also check your spam folder.

**We always try to be reasonable about bookings as we know that on occasions we will all make mistakes.

Cancellations and Refunds

Once your payment has been made and booking has been confirmed you will not be entitled to a refund if you do not turn up to your session or series of sessions.

When we will give a refund

Single Sessions

You will be entitled to a full refund if you give us 48 hours notice.

You will be entitled to a 50% refund if you give 24 hours notice.

A series of sessions

You will be entitled to a full refund if you give us 5 working days notice of the first session of the series of sessions.

You will be entitled to a 50% refund if you give us 3 working days notice.

Medical conditions or unforeseen events

  1. If you become ill or have been injured and have not been able to give us the required amount of notice we will try to be reasonable however we cannot guarantee to give you a refund. This is because we have incurred substantial costs prior to your coaching which we cannot recoup.
  2. If we decide to give you a refund on the basis of illness or injury we may ask you to provide evidence from a certified medical practitioner.
  3. If you are unable to attend due to an unforeseen event on the day of the coaching we will try to be reasonable but we cannot always guarantee to give you a refund. We will make our decision based on individual circumstances.  We may ask you to provide some confirmation of the unforeseen event.

When we have to cancel

  1. There will be occasions when we will have to cancel a lesson or series of lessons due to the nature of the activity.
  2. We always try to give 24 hours notice but this is not always possible.
  3. If the cancellation is due to a problem with Toe In Swim, coach illness, weather conditions or conditions of the venue where coaching is to take place, you will be entitled to a refund of the session or in the case of a series of sessions those sessions that have had to be cancelled.
  4. We will not refund any costs you have incurred to attend the coaching.
  5. There may also be very rare occasions when a coach decides on the day that it is not suitable to undertake the activity because they deem you to be unfit or your behaviour inappropriate. If this is the case, you will not be entitled to a refund.

Terms and conditions of coaching venues

  1. You must comply with those health and safety rules implemented by the venue in which coaching is taking place.
  2. Any items belonging to you left in any area of the venue are left at your own risk.
  3. We accept no liability for any loss or damage which may result from your use of any car parking or any other facilities at the venue.
